1.Shinshu University's policy regarding personal information
In accordance with the principles of the Law Regarding the Protection of Private Information (Private Information Protection Law), Shinshu University has established a set of rules that it will enforce when handling (Rules for handling personal information) or disclosing (Rules for handling the disclosure of personal information) personal information.
I. Enforcement of the law
The University will strictly abide by and enforce the Private Information Protection Law and relevant laws.
II. Handling of personal information
The University will manage personal information in compliance with the law.
- Personal information will be collected in an appropriate manner.
- Shinshu University will retain personal information within the limits necessary to carry out administrative duties.
- Personal information will be utilized or made available within the limits outline for a pre-specified purpose.
III. Security of personal information
The University will implement security measures to prevent the leakage, theft, unauthorized access to, loss of or damage to personal information.
IV. Disclosure of personal information database
The University, in accordance with the law, will create and make public the personal information database.
V. Disclosure of personal information
The University, in accordance with the law, may disclose, amend, or discontinue use of personal information.
VI. Office of personal information
The University has set up a window to handle requests for disclosure, or to receive and handle complaints related to the handling of personal information.

5.Requesting personal information as the principal party
Any individual who is the principal party may request the University to disclose, amend, delete, or discontinue use of personal information held by the University.
I. Types of requests
- Disclosure request
Any individual may request disclosure of personal information held by the University on said individual. (Must show proof of identity.) - Correction request
When personal information held by the University is deemed incorrect, an individual may request correction. - Request to discontinue use
Any individual may request the University to discontinue use of his/her personal information if the individual has reason to believe that the information was improperly obtained or is beyond what is required for administrative purposes.

Fill out the appropriate request form and submit to the Office of Personal Information.

III. Handling fees
A request for disclosure will incur fees.
Upon submitting the request for disclosure, you will be asked to pay the fees in cash or a bank transfer.

IV. Non-disclosure ruling
In principle, the ruling for non-disclosure will be made within 30 days after the request is made. The requester will be notified of the decision in writing.
- About disclosure ruling
Disclosure rulings are as follows: disclosure (including partial disclosure), non-disclosure, disclosure due to non-existance. In principle, disclosures will be made except when disclosure is prohibited as per Article 14. - About correction ruling
When it is determined that grounds exist for the correction of personal information necessary to accomplish a purpose, in principle, the information will be corrected, added to, or deleted. - About termination ruling
When it is determined that grounds exist, the University, in principle, will terminate the use of, delete, or stop supplying personal information within limits that will ensure proper handling of personal information.
V. Appeals
If a requester is dissatisfied with a disclosure ruling, it is possible to appeal.

I. Personal Information
Personal information means information about a living individual which can identify the specific individual by name, date of birth, or other description contained in such information.
II. Retained personal information
Retained personal information is information that University officials, faculty, or employees have created or obtained and have recorded in corporate documents with the intent to use in the organizational activities of the University.
III.Personal information database
A personal information database is a set of personal information that sets forth the following:
- To accomplish a defined administrative purpose, the information will be systematically arranged so that specific personal information can be retrieved by a computer.
- In addition to 1., for the purpose of accomplishing a defined administrative purpose, the information will be systematically arranged so that specific personal information can be easily retrieved by name, date of birth, or other description.
