Arrival to conference site (Nagano, 長野)

There are two international airports in Japan: Haneda and Narita.

From Haneda (羽田) airport (HND)

It is in Tokyo(東京)-city. However not so many services.
Haneda-Tokyo JR station is about 30 min from Tokyo.
You can take a monorail (not JR) from Haneda to Hamamatsu-chou 浜松町(final) (15-20 min) and you get off at monorail Hamamatsu-cho station to change to take JR line there (you have two lines Keihintohoku 京浜東北線 or Yamate (山手) lines for Tokyo, every three min services) (10 min).
You can find out the Shinkan-sen (新幹線) terminals of Tokaido (you do not use) and Tohoku (Nagano 長野,--).
You can get a ticket inside the station (or you can get it through the internet).
You can take the Shinkan-sen for Nagano or Kanazawa (金沢).
Nagano-Tokyo: 90-100 min.
1-5 or 1-3 cars are non-reserved ones. Probably you can have your seat even with the non-reserved ticket, even if you arrive just 10 min before the departure time.

From Narita (成田) airport (NRT)

It is far from Tokyo, which is in Chiba.
You can take JR-Narita express (every 30 min service) which combines with JR Tokyo station. It takes around 70 min.
You should arrive at an underground terminal. Then you can reach to the Shinkan-sen terminal following to the signs (about 10 min).
You can use Keisei-line from Narita airport. In this case, the final stop is Ueno. Around 50 min. You need to walk in the town from Keisei Ueno station to JR Ueno station for 5 min. You can take the Shinkansen for Nagano and Kanazawa at Ueno (上野) station.
The Ueno station is not a starting terminal and next stop after Tokyo station.

Then, the route using JR-Narita express may be simpler.
From Tokyo station, you can refer the above explanation.

Train Timetables

Notice that Shinkansen service to Nagano will change from March 14, 2015 due to extension of the Shinkansen line, which will be named Hokuriku Shinkansen outlink. From this date, extension of Shinkansen line will be up to Kanazawa (around 200 km West of Nagano). Train services available in this line will be Kagayaki, Hakutaka and Asama.
